- What is ProjectWise MANAGEservices?
ProjectWise MANAGEservices represents an outstanding, cost-effective alternative to managing the complexity of hosting your own ProjectWise server configuration. In this architecture model, Bentley, through the engagement of third-party data-hosting facilities, is responsible for the management & core configuration of your ProjectWise solution.
Infrastructure and ProjectWise Communication
- How does licensing work in ProjectWise Online?
The following information applies to ProjectWise Desktop Client users using ProjectWise Online. This will apply to any ProjectWise Online user using the ProjectWise Explorer client.
All ProjectWise Online users need to license the ProjectWise Explorer client through their local SELECT Server. This applies to all existing and new users. Every user accessing ProjectWise Online requires a ProjectWise Passport. Users need to complete the following steps to avoid disruption in access to ProjectWise Online. Please note that this represents an additional step in the installation and configuration for the ProjectWise Explorer Desktop Client per user node.
On the ProjectWise Server, the Client Licensing setting is set so that each user can ‘Activate and record usage through client’s configured SELECT Server’.
On The User Node:
1. Close ProjectWise Explorer Desktop Client.
2. In Windows Explorer, navigate to [C:\Program Files (x86)\Bentley\ProjectWise\Bin] and open LicenseTool.exe
3. In the License Management Tool, select Tools and then select Options.
4. In the SELECT Server Settings, enter the Server Name.
This is the name of your SELECT Server. If using the Bentley Hosted SELECT Server the name is SelectServer.Bentley.com.
5. Enter the Site Activation Key.
This is a unique key that the user’s SELECT Server administrator will need to provide. This key could come from the owner of the ProjectWise Server, or the owner could require
each outside party to have their own ProjectWise Passport and own Site Activation Key.
6. Once both are entered click “Test Connection”. You should receive a message saying “Server and activation key verified.”
7. Click “OK” to update the changes.
Here is an example of what the Server Name and Site Activation Key should look like:
Server Name: selectserver.bentley.com
Site Activation Key: E02285B25CD40GF1KBC7C7ABDB38D47B (Not a valid key, just an example.)

- Should a sub-contractor use their ProjectWise Passport, does the owner provide a passport or does it come with ProjectWise Online?
Every user that access ProjectWise Online is required to own a ProjectWise Passport license. There are 3 ways to manage this. 1.) The sub-contractor owns a passport and they use their passport to access ProjectWise Online. 2.) The owner provides a license for the sub-contractor to use. Note- if this is the case the Select Server needs to be accessible to the sub-contractor. 3.) Require the sub-contractor to obtain a ProjectWise Passport through Bentley. If a sub-contractor owns a ProjectWise Passport it would make sense for them to use this when connecting to ProjectWise Online. This is more of a commercial issue opposed to a technical issue on how the owner wants to provide a Passport license to the sub-contractor.
Bentley Technical Support Group
As with all Bentley solutions, our primary means of support & issue resolution is via our Technical Support Group (TSG). Bentley Technical Support Group (TSG) will be your first line of contact when you need technical support.
Bentley provides 24/7 telephone support, 365 days a year, “following the sun” to each Global Support Centre. On any new day, telephone support requests are routed through Melbourne, Australia. Once the working day comes to a close in Melbourne, phones are then routed to Hoofddorp in the Netherlands, and shortly thereafter, Dublin, as their respective work days begin.
At the end of the EMEA region’s coverage, phones are routed to Exton, Pennsylvania in the United States, corresponding with the US working day, before restarting the cycle.
Together, these Support Centers provide continuous coverage of the toll-free support lines, regardless of our users’ locations. (Note: Toll free lines may not be available in all countries)
- Contacting TSG (Technical Support Group)
TSG supports several methods of issue notification and communication:
Phone and Chat support are offered exclusively to subscribers of Bentley's SELECT program, which guarantees priority processing for SELECT users. The SELECT agreement guarantees, "Reasonable efforts to respond to technical inquiries within four hours," for all incoming issues via Phone (24/7) and during regular business hours for Web, Chat and Facsimile.
When communicating via Phone and Chat, responses are immediate. When contacting TSG via Web or Fax, the response will be within four (4) hours. When contacting TSG during weekends or holidays via the toll-free number, our analysts will return the call within 20 minutes.
How are data backups handled?
Data backups are kept on disk, for a period of 14 days before being recycled.
Can a longer retention period be offered?
Bentley is happy to negotiate the terms associated with a longer data retention cycle. Please note however that this will incur an additional cost, depending on the nature, amount of data, and the length of the retention needed.

- How do I create new accounts?
Use the Account Creation link provided to you by your ProjectWise Online contact
- How do I get login information about accounts I created?
After your account has been created, you will receive an email (to the email address specified on the account request) containing your username and password.
In some cases, Bentley staff may directly send you your account information.
- Can I create users in bulk?
To create user accounts in Bulk, you must first access the 'createaccount.aspx' page with the appropriate site ID parameter.
From this page, please click the 'Click Here to Bulk Upload' link, located at the bottom of the request form.
You will now have the ability to upload a 'csv' file from your local machine. The csv file must have the information in the csv file in the following order:
Last Name, First Name, E-mail Address, Company Name, Bentley Contact.

- How do we access ProjectWise Online?
There are two ways to access the ProjectWise datasource; one way is through the “Thin Client” using a SharePoint site with ProjectWise Web Parts and the other is through our “Thick Client” called ProjectWise Explorer which you need to install on your user’s computer.
- I delete a user in ProjectWise administrator and within minutes the user is recreated, why?
The ProjectWise User Sync Service is always running in real time. The user is added to a group in Active Directory which syncs the account. Simply deleting the user from ProjectWise will not permanently delete the user. The next time ProjectWise runs a sync the user will come back into ProjectWise. Please reference User Management below for more details on workflow to delete users.

- We want to upgrade our ProjectWise software to a newer version, what do we need to do?
Upgrades on the server side are including with the Bentley Hosting fee. You should contact your Account Manager to schedule this. Typically we ask for approximately 2 week lead time to perform the upgrade. All upgrades of the application server are at the user request unless a security issue arises requiring a new build.

What Do I need to do to configure my browser for ProjectWise Web Parts?
A. Add the Web Parts Site to the "Trusted Sites" list
Adding the Web Parts website address to your browser's Trusted sites list is a requirement for using ProjectWise Web Parts.
1. In Internet Explorer, go to Tools > Internet Options.
2. In the Internet Options dialog, select the Security tab.
3. Select Trusted sites and click the Sites button.
4. In the Trusted sites dialog that opens, type your Web Parts website address and click Add.
5. Click OK to close the Trusted sites dialog.
6. Click OK to close the Internet Options dialog.
B. Configure Internet Explorer Security Settings
1. In Internet Explorer, go to Tools > Internet Options > Security tab, select Trusted sites, click Custom Level.
The Security Settings dialog opens for the Trusted Sites Zone.

Occasionally Web Parts needs to open items in a new window. For example, if you right-click a folder and select Properties when the Properties web part is not present, the properties of the selected folder display in a new window. When your popup blocker is enabled, these additional windows will not open; therefore you should disable the popup blocker in your browser. See your browser's documentation for instructions.Remotely Installing ActiveX Controls for Users
When users visit the Web Parts site for the first time, they are prompted to download the ProjectWise Web Server Client Components, which installs the following:
• ProjectWise Web File Transfer ActiveX Control — used by any operation that downloads a file to your local web parts working directory
• Bentley DGN Navigator (ActiveX) Control—used by the Navigator web part
• VPR ActiveX Control — used by the Publishing and Markup web part
• Spatial ActiveX Control — used by the Spatial Content web part
In some cases, you may have to remotely install these ActiveX controls for your users. For example, your users may not have the administrative permissions on their computer necessary to install the ActiveX controls. Another possibility is that you have upgraded the minor version of ProjectWise Web Server and View Server
(for example, from the initial version of 8.11.11.x to a later update of 8.11.11.x), while your users are still using the ActiveX controls that were delivered with the original ProjectWise Web Server and View Server installation, causing the two to become out of sync and requiring that the users' ActiveX controls be upgraded.
To remotely install the ActiveX controls, you can either use a Group Policy to install them, or you can remotely connect to your users computers and manually install them. When remotely installing the ActiveX controls, you need to launch these two installers:
• ProjectWise Web and Web View Servers V8i (SELECTseries 4) Client Components.msi — this installs the ProjectWise Web File Transfer ActiveX Control, the VPR ActiveX Control,
and the Spatial ActiveX Control
• DgnNavigatorControlAx.msi — this installs the Bentley DGN Navigator (ActiveX) Control
How are user accounts created and managed?
All ProjectWise OnLine user accounts are managed through active directory which is installed and managed by Bentley. To create user accounts in active directory, an online form has been developed specifically for COMPANY XYZ.

Only approved users can create user accounts as the number of ProjectWise OnLine users who login during the contract period is used to determine the ProjectWise OnLine hosting fee paid by COMPANY XYZ. To restrict who can create user accounts, your username and password will be validated when this URL is accessed.
CREATING USER ACCOUNTS
1. Go to the Create User Account form https://extranet.projectwiseonline.comaccountrequest/createaccount.aspx?siteID=ghen4823IV
2. Enter the required fields (marked with an asterisk) and click the “Create Account” button
If there were no problems with the request, you will see a message stating the account was created under the “Create Account” button
The person who created the user account will get a confirmation email with the user account login and password. Please note the user does not get an email containing their user
account information from the automated system. An email is only automatically sent to the person who created the account.
If the user already exist by their name it is possible they are already using ProjectWise Online on another project using another users system. The form will tell you this person is
already a member of PWOnline. In this event please summit a Service Ticket with TSG to add this user to your project.
Once user account is created, the ProjectWise User Synchronization Service will create the account in ProjectWise. The synchronization service runs approximately every 5 minutes
so you may not see the user account within the ProjectWise Administrator Client right away.
3. Start the ProjectWise Administrator Client
4. At this point, please wait about 5 minutes and then login to the ProjectWise Administrator client to setup the user’s group and access list membership. You might also want to
confirm the user settings are correct (whether or not the user can delete files, what their working directory is set to, etc).
Once this is done, please forward the user account information to the user along with any special instructions (for example, how to install the ProjectWise Explorer client or the URL to the ProjectWise web interface if the user will be using the web client to access ProjectWise OnLine.
How are user accounts deleted or modified?
Please do not use the ProjectWise Administrator tool to create user accounts, modify the user information like passwords or email addresses, or disable them. User accounts created by the administrator tool will have issues and any accounts disabled or modified via the ProjectWise admin tool will be automatically enabled with the previously stored information via the user synchronization service.
To have a user account deleted, please contact TSG either via a phone call or their online Service Ticket Manager. You will need to give TSG the name of your ProjectWise OnLine environment - COMPANY XYZ.projectwiseonline.com and the name and email address of the person to be deleted.

Please note passwords must meet the following requirements:
*Minimum password length: 7 characters
*Password cannot contain 3 or more consecutive characters from the account name
*Password can only be changed once every 24 hours
*New password cannot be any of your prior 24 passwords
*Bentley has no way of retrieving your password (but it can be reset if needed)
*Complexity requirements (must contain characters from 3 of the following 4 categories)
- English uppercase characters (from A through Z)
-English lowercase characters (from a through z)
-Base 10 digits (from 0 through 9)
-Non-alphanumeric characters (for example: !, $, #, or %)
How do I disable a user account?
When using ProjectWise Online there will be times when a ProjectWise Administrator will need to disable a user within the System. There is a workflow for disabling a user within ProjectWise Online.
The ProjectWise Online System uses Microsoft Active Directory as the back-end authentication model for users in ProjectWise Online. When users are created using the web based form, they are added to a specific Active Directory group that is assigned to your ProjectWise Online Server. That Active Directory group is synced with ProjectWise Online in real time. This is why you normally see users appear in ProjectWise within an hour, depending on the number of users created and how they are queued up. The user sync could be scheduled on an alternate schedule, but with ProjectWise Online the default is to configure it “Online”, which means it happens in real time.
When the user is synced and placed into ProjectWise, the information you filled out on the web form is used to create the user in ProjectWise. Notice that in the Properties dialog that the account Type is set to ‘Windows-synchronized’.
This runs checks with the Active Directory to make sure the account is still valid and the User Synchronization Service runs to ensure the account is active. This works as designed so that if the account is deleted in Active Directory; it will disable the user in ProjectWise on the next sync after the account is removed from Active Directory. Disabling a ProjectWise Online User
When the account is deleted in Active Directory the account is only disabled in ProjectWise Online. This works as designed for Audit Trail purposes so you can determine any document ownership issues before the user is removed completely.
As a ProjectWise Administrator, you have permissions to delete the user from ProjectWise once they are deleted in Active Directory and disabled in ProjectWise. Please note that whoever deletes the ProjectWise user account will become the “owner” of all the documents that user previously owned. Manually disabling a ProjectWise Online User within the Application
There will be times when a user needs to be disabled right away. If that is the case, this can be accomplished within the ProjectWise Administrator client. You will need to go to the user’s Properties and change the account type from ‘Windows-synchronized’ to ‘Windows’.
Once that is completed, check the ‘Account is disabled’ check box.
At this point the account is disabled and the user will not be able to login into the ProjectWise Online System. As a precautionary step it is a best practice to remove this user from all groups in ProjectWise that have access to projects and folders. Provided that security is applied by groups to all folders and projects within ProjectWise, this will limit any type of permissions even though the account is disabled.
At this stage the user account is disabled in ProjectWise Online, and it will not sync with Active Directory as the account is set to Windows. It is important that the account is set to ‘Windows’ and NOT ‘Windows-Synchronized’.
Now you submit a Technical Support Group Service Ticket that accounts need to be deleted from ProjectWise. This typically happens within a 24 hour period. This ensures users are deleted in Active Directory and will not re-sync within ProjectWise Online.
What if the user I am creating already existing on ProjectWise Online?
If the user already exist by their name it is possible they are already using ProjectWise Online on another project using another users system. The form will tell you this person is already a member of PWOnline. In this event please summit a Service Ticket with TSG to add this user to your project.

Will ProjectWise Explorer for the iPad work with ProjectWise SELECTseries 1?
It has been tested/certified with SELECTseries 3 and 4. If there are any issues with prior SELECTseries releases it is best advised to upgrade to the latest version to be certain the issue already has not been fixed.
What are the supported document types that can be viewed by the ProjectWise Explorer iPad application?

Can I open dgn and dwg files?
No, at this point you will need to create a OMIM file, which can be opened in the Bentley Navigator for the iPad via the ProjectWise Explorer iPad application.
How can I refresh document list in ProjectWise Explorer on the iPad?
If you swipe vertically down on the document list you will see 'Release to refresh' once you let go it will refresh the document list.
If a file is cached local on the ProjectWise Explorer iPad application, how do I know the file is up to date it a change was made to the file elsewhere?
A vertical swipe will refresh to sync with server so an up to date file is being viewed.
How will the ProjectWise Explorer iPad app work with cached files on the server?
To ensure the most up to date file is being viewed. When a connection is established and a request to the server is made via the ProjectWise Explorer iPad application it will look to see if there is a newer version on the ProjectWise Storage Area first. If there is it will load it in the Mobile Access Server cache and then open the file on the client.
How do I delete a datasource, file, or a folder?
A swipe over the datasource, file, or folder name will enable a Delete button. Tap to confirm and Delete.
